Scheduled reports by email

Email a status, overdue, progress or time report to your team every day, week or month, with an Excel file attached.

A scheduled report emails a summary of your projects to the people you choose, on a schedule. Open Reports in the sidebar to set one up.

Scheduled reports are off in new workspaces. A workspace admin turns them on in Settings → Features → Scheduled reporting (or when setting up the workspace). While they're off, nothing is sent; reports you set up earlier are kept and start again when the feature is back on.

Report types

ReportWhat it shows
StatusPer project: open and done tasks, % done, done this period, overdue, due in the next 7 days, plus the top open tasks.
Overdue tasksEvery late task (subtasks too), grouped by assignee, with how many days late it is.
ProgressCompletion per project and per stage now, compared with the start of the period, and how many tasks were completed and added.
TimeTracked hours per person and per project for the period. Needs time tracking to be on.

Create a report

  1. 1Open Reports and click New report.
  2. 2Give it a name and pick the report type.
  3. 3Choose one project or All projects.
  4. 4Pick how often (daily, weekly on a weekday, or monthly on a day of the month) and the time. Times are in your time zone.
  5. 5Tick the workspace members who should get it, and add other email addresses if you like (for example a client).
  6. 6Leave Attach an Excel file on to include the numbers as a spreadsheet.
  7. 7Check the Preview on the right: it's the email as it would look right now. Then click Create report.

Monthly reports on the 29th, 30th or 31st go out on the last day of shorter months.

When reports arrive

Reports are sent by a job that runs once a day (around 06:00 UTC). A report goes out at the first run on or after the time you picked, so it can arrive a few hours after that time. The period always ends when the report is sent: since yesterday for daily reports, the last 7 days for weekly ones and the last month for monthly ones.

What a report shows

A report only includes what the person who created it can see: private projects they aren't in are left out, and a time report only covers their own time unless their role lets them see everyone's. Keep that in mind before adding people outside the workspace.

Send now, pause, edit or delete

  • Send now emails the report straight away. The schedule stays the same.
  • Pause stops sending until you click Resume.
  • Edit changes anything, including the recipients.
  • Delete removes the report. Creating and deleting reports is recorded in the audit log.

Everyone manages their own reports. Workspace admins see and manage every report in the workspace. If the person who set up a report leaves the workspace, it's paused.

The email shows your workspace logo when an admin has added one under Branding.
